Shared Reviews and Making Comments

You have been tasked with reviewing and making changes to our Company manual system. There are several ways to accomplish these changes. The most efficient way is through Shared Review.
What is Shared Review?
Shared Review (SR) is a way manual owners and contributors collaborate to make changes to a document. Users make suggestions using commenting tools so others can see and approve those suggestions. These comments are what Publications then use to change the content of the manual.
Our Company SRs are all done in PDFs using Adobe Acrobat.
Why is SR important?
SR keeps comments organized on a document. This is done by displaying who made the comment and when it was made, what page it was made on, and for most comments, easy identification of where the change is to be made.
Without SR, manual changes can become cumbersome. This is due to comments having clarity issues, minimal accountability (no one knowing who made the comment), and limited ability to archive those changes.
This last part is crucial in the revision process. SR allows Publications to efficiently archive every manual’s review to preserve all comments. No comments are ever deleted from a SR. This archive is especially useful if the need arises to review past changes to content.
How do I make comments?
NOTE: Adobe has quite a few different tools. The tool needed to make comments in SRs is done by using the Comment tool.
First, open the SR you have been tasked with working on. To access the SR, either open the link in the SR email or from the Shared Review Access Document found on the Publications subsite.
Once you have the SR open, access the commenting tools on the right side of the document. The Commenting Tool looks like a comment bubble.
The commenting tools will appear above the document.
The Five (5) Most Commonly Used Tools
There are five (5) main tools you will use in SR. These are Sticky Note, Delete Text, Replace Text, Insert Text, and the Attachment Tool.
Sticky Note
The Sticky Note tool is used to make broad changes such as adding a new chapter or replacing an image.
Delete Text
The Delete Text tool tells Publications to delete a section of text or just a portion of text.
Replace Text
The Replace Text tool is like two tools in one. It can be useful when you know exactly what text needs to change and state instead.
Insert Text
This tool can be used to precisely indicate where new content needs to go. Use this tool to add new items or new sections in the manual.
Attachment Tool
The Attachment Tool is similar to the Sticky Note. It should be used to make broad changes to content. The tool is especially useful to attach replacement images or new sections or chapters.
